The Alberta Securities Commission (ASC) is the industry-funded regulator responsible for administering the province's securities laws. It is entrusted with fostering a fair and efficient capital market in Alberta and with protecting investors. As a member of the Canadian Securities Administrators (CSA), the ASC works to improve, coordinate and harmonize the regulation of Canada's capital markets.

 

The Human Resources and Corporate Services division provides specialized support that enables employees and management to effectively fulfill the ASC’s mandate. The division is focused on the development and implementation of high-quality strategies, programs and policies that are aligned with the ASC’s strategic and operational initiatives. Corporate Services’ core functions include purchasing, security, business continuity, health and safety, and facility management.

The opportunity

This position will appeal to an individual interested in facilities management who is looking to gain experience working in a highly professional and fast-paced office environment. Multi-tasking is a must, as the Facilities Coordinator balances multiple internal customers/clients, priorities, and timelines. This position will act as back-up support to all members of the Corporate Services team, including reception, mailroom and administrative support. As part of a small team that reports to the Lead, Corporate Services, this front-line position has frequent daily contact with professional staff, clients, vendors and suppliers.  

Key responsibilities include

  • Handling facilities-related requests such as inventory, supplies and building/office equipment matters through phone or in-house computer system and responding in an appropriate and timely manner.
  • Providing direction and information to vendors, contractors and service providers as required.
  • Liaising and following up with building maintenance regarding maintenance and repairs.
  • Conducting inventory on office supplies and ordering/receiving supplies as necessary.
  • Handling new employee setup by cleaning and stocking offices and arranging security card access.
  • Setting up phones and voicemail through Cisco VOIP, maintaining and troubleshooting copier issues.
  • Cross-training and backing up other members of the facilities team and reception.
    • Managing all mailroom tasks such as sorting, distributing, shipping and receiving mail, assisting customers with large mailouts, collecting and delivering large consignments; and other mailroom duties as required.
    • Greeting and directing visitors and managing a multi-line phone system.
    • Providing entry level administrative support as required.

The ideal candidate will possess

  • A high school diploma.
  • Proficiency with MS Office including Word, Excel, and Power Point.
  • High energy and enthusiasm with a desire to provide exceptional customer service.
  • A sense of urgency when following up with service requests and when facing new challenges.
  • Superior communication skills (verbal and written), and attention to detail.
  • A proactive, self-starting approach to work, and the desire to take ownership of their responsibilities.
  • The ability to lift boxes weighing up to 50 pounds.
  • Previous office experience would be an asset.
  • A post-secondary diploma or certificate would be an asset.
  • Facilities management, reception or mailroom experience would be an asset.
